Senior Medical Secretary - Float

Location: Central London (travel between various sites will be required)
Hours: Full time, 37.5 hours per week
Shift times: Monday to Friday, 09:00-17:00 (some flexibility will be required to cover clinics)
Contract: Permanent


We're looking for an experienced Senior Medical Secretary to join our Float Secretary Team, providing support across a range of specialties and HCA Healthcare UK facilities within Central London.


This is an exciting opportunity to join a highly skilled and collaborative team, providing cross-cover and administrative support to consultants and clinical services across multiple locations. You'll play a key role in ensuring the smooth day-to-day running of consultant practices, adapting to different specialties and departments while maintaining the highest standards of patient care and service delivery.


This role would particularly suit an experienced Medical Secretary who enjoys variety, thrives in a fast-paced environment, and can confidently build effective working relationships across multiple teams.

What you'll do

  • Provide comprehensive secretarial and administrative support to consultants and clinical teams, including audio-typing of clinical and non-clinical correspondence, reports and other sensitive documentation, maintaining confidentiality at all times.
  • Support consultants and services across a variety of specialties, ensuring the smooth coordination of patient appointments, investigations, admissions and follow-up care.
  • Prepare clinics by ensuring all relevant correspondence, test results, imaging, insurance information and patient records are available and up to date.
  • Manage patient enquiries, inboxes and telephone calls, providing a professional, responsive and compassionate service to patients, consultants and multidisciplinary teams.
  • Arrange planned and urgent admissions, request investigations and obtain test results, escalating abnormal or urgent findings where appropriate.
  • Maintain accurate patient records and ensure all documentation is completed, filed and managed in line with established processes and standards.
  • Prepare, distribute and manage dictated letters and clinical correspondence, ensuring documentation is completed accurately and within agreed timescales.
  • Contribute flexibly across different sites, specialties and consultant practices, providing cross-cover and support as required to ensure continuity of service and meet operational demands.

What you'll bring

  • Proven experience working as a Medical Secretary or Senior Medical Secretary within a healthcare environment.
  • A strong understanding of medical terminology and clinical processes.
  • Excellent typing, audio-typing and document production skills, with a high level of accuracy and attention to detail.
  • Strong communication, organisational and prioritisation skills, with the ability to manage competing demands effectively.
  • A flexible and collaborative approach, with the ability to adapt quickly to different consultants, specialties, locations and ways of working.
  • Strong IT skills and confidence using a range of hospital systems and Microsoft Office applications.
