Job Description
Freedom24 is a CySEC-regulated stockbroker and part of Freedom Holding Corp, listed on Nasdaq. Clients trade over a million instruments across 15 exchanges through the platform. The Group is headquartered in Limassol and has been steadily opening offices across Europe, we have 10 offices in Europe, and now needs a single document management architecture that can actually support all of them.
That's the mandate here. Someone is needed to sit down with a blank sheet of paper and figure out how a regulated European financial group should manage everything from contracts and corporate records to Board papers and client files, across Cyprus and every subsidiary. You'll report straight to the Chief Legal Officer and have full autonomy. The first six months are focused entirely on this: auditing where things stand today and designing the model the Group should move to. What comes after depends on what you find and build during that time, but this is very much a first chapter, not the whole story.
To be clear: the current Document Management team is doing a good job running things day to day. Nothing here suggests otherwise. What's missing is the layer above that, the architecture the Company needs now that it's operating across this many countries, and building that layer is the job.
Why this role exists
The Group has outgrown a document management model shaped mainly around Legal's needs. As the Company expands across European subsidiaries, document management needs to become a structured, centralized, auditable discipline — not a set of local routines. That's the gap this role is built to close.
What you'll do
- Audit the current landscape end-to-end: WSS / Prime Docs, DocuSign, approval routes, contract administration, electronic archives, original-document handling, and cross-entity workflows.
- Run a rigorous gap analysis — process, governance, systems, subsidiary integration, reporting, AI-readiness — and separate what should stay from what needs to change.
- Design the target operating model: centralized governance, document taxonomy, RACI and ownership, approval and e-signature principles, archive and access-rights framework.
- Assess whether to enhance, integrate, or replace current systems, and translate the future model into clear IT business requirements — including where AI can add real value (classification, extraction, search, key-date monitoring).
- Deliver a phased, board-ready implementation roadmap for Cyprus and the European subsidiaries, with a clear view on how the role itself should evolve afterward.

- 10-12+ years in document management, records management, information governance, legal operations, CLM, or business process transformation.
- Experience in regulated financial services, fintech, banking, insurance, payments, or a comparable multinational, multi-jurisdictional group.
- Hands-on knowledge of EDMS and e-signature platforms, contract registers / CLM logic, electronic archives, metadata, and access-rights models.
- A track record of auditing complex cross-functional processes and turning findings into a practical, adoptable operating model.
- The stakeholder skills to lead a transformation with no direct authority and the tact to frame gaps as scale-driven, never as a verdict on the current team.
- A plus: experience with AI-enabled document intelligence, automation, or document classification tools.
What this role is not
- Not a legal review role, a general legal-ops role, an IT developer role, or an administrative position.
- Not a replacement for the current Head of Document Management — this is a senior transformation and systems-design mandate that builds on top of the existing operation, not instead of it.
