As we continue to expand, we are seeking a motivated operations associate to support our Head of Operations across all aspects of the operations and business management needs.
About the Role
We are looking for a highly organised, proactive and detail-oriented Operations Associate to support the day-to-day operations of a fast-growing international technology company.
This is an excellent opportunity for a recent graduate or early-career professional who wants to build a broad foundation in operations, office management and HR administration within a dynamic startup environment. The role offers exposure to multiple business functions and provides a development path towards an HR & Operations management career.
The successful candidate will play a key role in ensuring the smooth running of business operations, supporting teams across multiple regions, and helping maintain efficient internal processes.

Key Responsibilities
Office Operations & Administration
- Manage day-to-day office operations and ensure a productive working environment.
- Coordinate office supplies, facilities and equipment.
- Maintain company asset registers and track office equipment.
- Manage relationships with office-related suppliers and service providers.
- Coordinate courier shipments, deliveries and general operational support activities.
HR Administration
- Support employee onboarding and offboarding processes.
- Prepare employment documentation and maintain employee records.
- Coordinate equipment allocation and access setup for new starters.
- Maintain holiday, probation and employee administration records.
- Support employee lifecycle administration and ensure records remain accurate and up to date.
- Assist with HR processes and internal employee communications.
Finance Administration
- Process employee expense claims and supporting documentation.
- Assist with payment request processes and supplier invoice tracking.
- Support bank reconciliation activities.
- Monitor payment status and follow up on outstanding actions.
- Maintain accurate financial administration records.
- Support grant-related financial reporting and data collection activities.
Supplier & Procurement Coordination
- Coordinate supplier communications and administrative follow-up.
- Track purchase requests and supplier invoices.
- Follow up on deliveries, payments and supplier-related actions.
- Maintain procurement records and documentation.
Events, Projects & Operational Support
- Support sales and marketing for company events, exhibitions and internal activities.
- Arrange travel logistics where required.
- Prepare meeting notes and track action items.
- Provide operational support to Project Managers and business teams.
- Assist with operational coordination tasks across different departments.
Requirements
Essential
- Bachelor's degree or above.
- Professional working proficiency in English.
- Fluent Mandarin Chinese.
- Strong written and verbal communication skills in both languages.
- Excellent organisational and time management skills.
- Ability to manage multiple priorities simultaneously.
- Strong sense of ownership and accountability.
- Proactive approach to problem-solving and follow-up.
- High level of attention to detail and accuracy.
- Comfortable working in a fast-paced startup environment.
- Proficient in Google Workspace (Docs, Sheets, Drive, Gmail).
- Comfortable using spreadsheets and formulas for data management.
Desirable
- Previous experience in operations, administration, office management or HR administration.
- Experience working in a startup or scale-up environment.
- Familiarity with Xero or similar accounting systems.
- Experience supporting multicultural or international teams.
- Knowledge of UK employment administration processes.
Salary
FT: £25k-35k
