Job Description

We are pleased to launch a vacancy for a Digital Transformation Specialist who will report to the Head of the Operations Management Team (OMT). This is exciting new position supports digital transformation initiatives across EMBL-wide digital transformation change programmes, working closely with business stakeholders and subject matter experts.

Your role 

The role is part of the Operations Management Team's Change & Engagement function, working alongside the Change & Engagement Manager, Product Manager and Programme Managers. It collaborates with subject matter experts and operational teams to support digital transformation initiatives, initially within HR and, over time, across Finance, Procurement and other business areas. The role will also support and coordinate change initiatives that are specific to EMBL-EBI, while ensuring alignment with EMBL-wide change practices.

Duties and responsibilities:

General:

  • Support the delivery of digital change and transformation initiatives across EMBL-EBI and contribute to EMBL-wide programmes, helping colleagues adopt new systems, processes and ways of working.

  • Provide administrative and operational support for EMBL-EBI-specific change initiatives, ensuring alignment with EMBL-wide change management approaches.

Related to the ongoing ERP Transformation:

  • Coordinate the review, maintenance and continuous improvement of Workday Help content, ensuring guidance is accurate, well-structured, consistent, accessible and up to date.

  • Work with Subject Matter Experts to develop, review and maintain Help articles, standard operating procedures, user guides, videos and other support materials.

  • Maintain the central repository of user documentation and training materials, ensuring content remains organised, current and aligned with evolving business processes.

  • Gather and analyse user feedback to identify opportunities to improve Help content, training materials and the overall user experience, escalating issues where appropriate.

  • Support the Change Manager in planning, coordinating and delivering communications, engagement activities and training programmes ahead of major system releases and go-live activities.

  • Assist the Change Manager with change impact assessments, stakeholder mapping and business readiness activities, helping to identify impacts, risks and mitigation actions.

  • Act as a key coordination point between Subject Matter Experts, Change Managers and end users, facilitating effective communication and the successful delivery of change activities.

  • Knowledge of Workday HCM: Good understanding of the Workday HCM platform, preferably with hands-on experience in supporting system enhancements, data management, and troubleshooting.

You have 

  • Communication Skills: Exceptional ability to craft clear, concise, and impactful messages tailored to different audiences within the organisation, ensuring effective stakeholder engagement and buy-in.

  • Project Management Skills: Capable of managing multiple concurrent projects with excellent organisation, time management, and prioritisation skills to meet deadlines.

  • Analytical Abilities: Strong analytical mindset to assess system requirements, identify areas for improvement, and provide data-driven recommendations.

  • Change Management Expertise: Experience in planning, executing and monitoring HR system changes and upgrades, with a strong ability to manage resistance and foster a positive adoption culture among employees.


You may also have

  • Stakeholder Engagement: experience working across project teams.

  • Experience of supporting digital transformation or HR technology projects within a complex organisation.

  • Undergraduate degree (or equivalent qualification) in Human Resources, Business Management, Information Systems, Computer Science, Organisational Development, or a related discipline.
     

Contract length: 3 years (Project based)

Salary: Grade 4 monthly salary from £3,202.52 after tax, plus generous benefits and allowances based on family circumstances. Excluding personal pension and insurance contributions.
