Main Duties, Tasks & Skills Required

The Band 3 Healthcare Assistant (HCA) within the Outpatient Department (OPD) plays a key role in supporting the delivery of safe, effective, and patient-centred care. Working as part of the multidisciplinary team, the post holder assists clinicians and nursing staff in the smooth running of outpatient clinics, ensuring patients receive a high standard of care throughout their visit.

The role involves managing patient flow, preparing clinic areas, carrying out clinical duties such as phlebotomy and ECGs, and providing support to patients attending appointments. The post holder is responsible for coordinating patient arrivals, assisting with clinic organisation, and communicating effectively with doctors, nurses, and administrative staff to ensure clinics run efficiently.

The successful candidate will be proficient in the use of outpatient systems, including Optims, Clinical Portal, and Bookwise, to support appointment management, patient tracking, and accurate documentation. They will be expected to maintain high standards of professionalism, confidentiality, and patient care while contributing to the overall effectiveness of the outpatient service.

The Band 3 HCA must demonstrate excellent communication, organisational, and clinical skills, with the ability to work independently and as part of a team in a busy and fast-paced outpatient environment.

Qualifications

Essential

• Has been trained and is proficient in performing phlebotomy and ECGs, enabling them to effectively support the clinical needs of the service and provide high-quality patient care.
• Evidence of Maths/English qualifications at Level 2 or above.
• Completion of a competency-based workbook or equivalent relevant experience to vocational qualification at Level 3 i.e. For level 3 this could include AS/ A levels, Access to higher Education Diploma in health care support, Apprenticeships, NVQ Level 3, BTEC national Diploma award or nationals.
• Care Certificate or can demonstrate prior skills, knowledge and experience that meet the 15 minimum standards described by Health Education England (HEE) Skills for Health.
• Internationally educated applicants will have to evidence UK ENIC (the UK National Information Centre) Statements of compatibility
  
  

Experience

Essential

• Has previous experience working in an outpatient setting, managing clinics, handling delays, coordinating patient flow and arrivals, and liaising with doctors to ensure the smooth and efficient running of clinics.
• Must be competent in the efficient use of outpatient systems, including Optims, Clinical Portal, and Bookwise, ensuring accurate patient management, appointment coordination, and smooth clinic operations.
• Previous experience working in a patient facing clinical support worker role providing direct patient care in health or social care as part of a team.
• Understanding of the principles of safeguarding in relation to this role
• Ability to demonstrate/ articulate an understanding of the role and tasks involved and can describe the physical and emotional aspects of the role and some duties which are different to that of a Band 2 Clinical Support worker.
• Can link the Trust values (Kind, Connected & Bold) to the role and provide examples from personal experience which demonstrate understanding in relation to the role
• Can explain why training / education and approaches to care need to be consistent in relation to safety and patient experience.
• Can demonstrate ability / experience in supporting patients holistically.

Essential

• Good standard of spoken and written English
• Good communication skills -- written and oral
• Basic computer skills
• Good organisational skills.
• Ability to work with competing priorities/ can demonstrate an understanding of workload and how to prioritise this.
• Ability to demonstrate numeracy skills associated with the role i.e. record volume of fluids/ drinks.
• Ability to demonstrate literacy skills associated with the role i.e. understanding of written information/ instructions/ duties including policy and procedures.
• Flexible approach to shift patterns and place of work this may include working in different practice settings in different locations dependent upon service need.
