Aldeburgh Town Council invites applications for the position of Administration Assistant to the Council.

To provide effective and efficient administrative support to the Town Clerk, Mayor and Councillors through the establishment and delivery of a range of administrative procedures, processes and activities in order to assist with the delivery of the service and key objectives for the Town Council.

 

Your responsibilities

  • Provide a central point of contact for a range of specific administrative matters ensuring all enquiries are received and progressed to resolution in a timely manner.
  • Ensure the efficient processing of incoming and outgoing communications ensuring these are progressed using appropriate recording and tracking procedures.
  • Keep and update a record of contact within East Suffolk Council, Suffolk County Council, and organisations in Aldeburgh.
  • Provide administrative support to the Town Clerk, Mayor and Town Councillors undertaking activities to include Minute taking at meetings, diary management, organising Council meetings and ensuring papers are issued and distributed on time.
  • Be responsible for maintaining the Council website and ensuring it is up to date at all times.
  • Maximise the use of traditional methods and social media accounts in the workplace to facilitate communication of Council activity.
  • Undertake research to input the reports as requested by the Council and Town Clerk.
  • Provide additional Reception cover for the Town Hall and visiting general public.
  • Support Council committees and community events.

 

What you will need

As the successful applicant, you will have excellent organisational, communication and IT Skills and be a team player. Previous knowledge of how local councils operate would be desirable byt not essential as full training will be provided.

 

What will offer you

28 days annual leave including bank holidays per annum (pro rata).
