Job Description

The Role

Join NHS Greater Glasgow and Clyde as a Medical Secretary and play a vital role at the heart of patient care. Supporting Consultants and clinical teams, you will ensure smooth coordination of administrative processes that directly impact patient journeys and outcomes. All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

  • You will be based at Queen Elizabeth University Hospital, G51 4TF
  • Monday to Friday working 25.2 hours per week - Core hours 08:00 to 16:00/08:30 to 16:30/09:00 to 17:00
  • Part time, permanent
  • Please note the salary is Pro Rata for part-time hours

Key Responsibilities

  • Provide comprehensive secretarial and administrative support to Consultants and clinical teams, including correspondence, reports and diary management
  • Act as a first point of contact for patients, staff and external agencies, handling enquiries with professionalism, tact and efficiency
  • Coordinate patient pathways, including arranging appointments, admissions, and follow-up care in line with waiting time targets
  • Manage and prioritise incoming correspondence and referrals, ensuring timely and accurate processing
  • Maintain accurate patient records and utilise clinical systems to support effective service delivery
  • Work collaboratively with multidisciplinary teams to support clinic planning, rotas and service operations
  • Contribute to service improvement, provide cross-cover support and uphold NHSGGC values in all aspects of the role

Knowledge, training, qualifications and/or experience required to do the job:

  • HNC or SVQ Level III in Secretarial Studies, Business Administration or equivalent experience
  • Proficiency in Microsoft Office and experience using electronic patient record systems
  • Advanced keyboard and audio typing skills with a high level of accuracy
  • Knowledge of medical terminology and understanding of healthcare administration processes
  • Excellent organisational and time management skills with the ability to prioritise a demanding workload
  • Strong communication and interpersonal skills with the ability to manage sensitive situations effectively
  • Ability to work independently using initiative as well as collaboratively within a team environment
